Job Description for the Post of Director (Major Exhibitions)

Job Objective

To coordinate with industry members, government and various stakeholders for smooth organization of an event/exhibition and jointly work to promote the interest of oil and gas sector in India.

  • Key Responsibilities

  • Leads team of people assigned to an event.
  • Provides direction and resources to ensure clarity of roles and successful event operations.
  • Formulates ideas and curates content for conferences/events/exhibitions. Liaison with all stakeholders for setting-up of the India Pavilion on behalf of the oil & gas industry on a national/international platform.
  • Collaborates with department heads of oil and gas companies and/or external vendors to schedule and plan work assignments based on event needs.
  • Works closely with stakeholders to set the vision and content of the events/exhibitions, and develops optimal user experiences for participants.
  • Works closely with the Director General/other Directors to improve marketability and profitability of events and facilities.
  • Researches, identifies and capitalizes on business opportunities.
  • Pursues opportunities to increase and maximize event revenues.
  • Monitors stakeholder preferences to solicit new or continuing business for FIPI and market opportunities to expand stakeholder pool.
  • Meets with prospective and current member organizations.
  • Addresses questions and provides solutions to member organizations/stakeholders’ concerns and issues.
  • Prepares proposals for provision of services.
  • Determines price/rate schedules and discount rates that maximize revenues and are consistent with applicable laws and policies.
  • Negotiate contracts within pre-established pricing parameters.
  • Prepares detailed events reports and maintains the event/FIPI’s website regularly.
  • Reviews contract details with other senior management prior to delivery.
  • Ensures the contractual terms of an event including payment terms/dates are followed religiously.
  • Monitors expenses to meet budget parameters.
  • Monitors delivery of all goods and services to ensure contract terms are satisfied.
  • Collects payments and submits all documents and post-event reports to the concerned stakeholders in a timely manner after the conclusion of an event.
  • Develops event branding, concepts and designs.
  • Directs logical brand/branding planning which may include signage, décor, food service, audio visual services, and/or lighting requirements.
  • Conducts conference calls, site-visits and production meetings as necessary.
  • Resolves various problems such as scheduling conflicts, layouts and set-ups.
  • Develops and implements policies and procedures for event operations and activities.
  • Oversees, guides and facilitates even committees. Sets and distributes agendas and documents for specific committee meetings. Documents collectively agreed-upon decisions and ensures accurate execution of decisions.
  • Maintains records and reports necessary to comply with government and accrediting agency standards, regulations and codes.
  • Plan and handle media relations.
  • Promotes FIPI’s events/exhibitions nationally and globally.
  • Developing and releasing advertisements and press releases as and when required.
  • Any other work assigned by Director General, FIPI.

  • Qualification

    Post-graduate in any stream or Graduate with a degree in Engineering/MBA, with in-depth knowledge of oil & gas business.

    Experience

    At least 20-25 years’ relevant experience in oil & gas sector. The candidates (serving/retired) holding the position of Executive Director/E-9 level (in Oil & Gas PSUs) or equivalent in private organizations are only eligible to apply for this position.

    Age

    Age Limit: 62 years (as on the date of the publication of the advertisement)

    Tenure

    The initial tenure will be for a period of two years, which can be extended for a further period of one year (at the recommendation of Director General and approval of Chairman, FIPI).
